Do you want to organize an event that will be attended by a large number of people, but you don't really know how to start organizing it? What does it take for a successful Events?
It's clear; it's pretty tedious! A lot can be forgotten, a lot can go wrong in terms of time, content or finances. But with good organization and with the help of our checklist, it should work!
Events checklist
- First, create a schedule – what needs to be done by when?
- Planning – making financial decisions as well as decisions about the theme of the event
- Find a location & create a map (parking?)
- Send out invitations (but only if the party is 100% certain to take place)
- Clarify legal and insurance-related framework conditions.
- Bad weather contingency plan.
- Creating a staff plan: what needs to be done? Who assumes which responsibility on the day of the event? Who does what service?
- Clarify equipment - tables, chairs, etc.
- Catering: Choose a menu, determine quantities, clarify who is ordering what.
- organize program (music, shows, Acts)
- Cost planning runs parallel to content planning – don’t do too much, just what you can afford.
The nice thing about it is the – hopefully successful – end! Take the time to organize and do everything according to plan, so you can be sure that everything will go well!
